Appointment & Cancellation Policy

To provide the highest quality care and ensure all patients have access to timely treatments, we operate on a structured schedule. When you book an appointment, that time is reserved exclusively for you.

Please review our clinic policies below regarding bookings, cancellations, and arrivals.

1. Booking & Card on File

  • Securing Your Appointment: A valid credit card is required to secure all bookings, whether made online or over the phone.

  • Intake Forms: New patients must complete all digital intake and health history forms at least 24 hours before their initial evaluation.

2. The 24-Hour Cancellation Window

  • Notice Required: If you need to cancel or reschedule your appointment, you must notify us at least 24 hours in advance.

  • How to Notify Us: You can manage your appointment through our online patient portal, or by calling/texting the clinic directly.

3. Late Cancellations & No-Shows

  • The Policy: Cancellations or rescheduling requests made with less than 24 hours' notice will be subject to a charge equal to 100% of the scheduled service fee.

  • No-Shows: Missing an appointment without any notice will result in a charge equal to 100% of the service fee.

  • Insurance Notice: Please be aware that insurance companies do not provide coverage or reimbursement for missed or late-canceled appointments. You will be personally responsible for this fee.

4. Late Arrivals

  • Treatment Time: Acupuncture treatments require strict adherence to timing to ensure you receive your full needle retention and care.

  • Shortened Sessions: If you arrive late, your session will still end at its originally scheduled time so that the next patient is not delayed. The full service fee still applies.

  • 15-Minute Rule: Arriving more than 15 minutes late may result in us being unable to treat you. This will be categorized as a late cancellation and charged at 100%.

5. Illness and Emergencies

  • Health & Safety: We understand that sudden emergencies and contagious illnesses happen. If you wake up feeling sick, please contact us immediately.

  • Exceptions: Waiving the cancellation fee for sudden medical emergencies or illness is handled on a case-by-case basis. We prefer you stay home if you are sick to keep our clinic environment safe for vulnerable patients.
